Information we receive
If you email us, we receive your name, email address, message and any phone number you provide, including a callback preference. We may also hold customer correspondence, project materials, invoices and contract records. Please do not send passwords or sensitive personal information through the enquiry form.
How the website enquiry works
The form prepares an email in your own email application. Completing fields does not send them to Woodvale Enterprises or store them in a website database. We receive the enquiry only when you send the email. Your email provider processes the prepared email and sent message under its own arrangements. Preparing an email does not mean it has been sent or delivered.
Why we use information
We use enquiry information to answer questions and, where requested, take steps towards a contract. Pre-contract and contract activity may rely on the contract lawful basis where applicable. Other business enquiries, service administration and security may rely on legitimate interests, subject to a documented assessment. Tax and accounting records may be required by legal obligation. A callback request is used to respond to that enquiry and does not subscribe you to marketing.
Providers and overseas processing
The website https://woodvaleenterprises.co.uk is hosted by Cloudflare Pages. Cloudflare Email Routing forwards incoming messages addressed to info@woodvaleenterprises.co.uk to a private Microsoft Outlook mailbox. The private mailbox address is not published. Hosting providers may process IP addresses and technical request information for delivery and security. Email and hosting services may process data outside the UK.
Retention
We retain contact-enquiry information for 12 months after the last meaningful contact about the enquiry, unless the enquiry becomes a customer relationship or information needs to be kept longer for contractual, legal, tax or accounting purposes. When an enquiry becomes a customer relationship, relevant information becomes part of the customer records and is kept for the applicable, documented customer-record retention period; conversion does not justify indefinite retention. Information retained for a longer purpose is limited to what is necessary and reviewed when that purpose ends. We delete or anonymise information when it is no longer needed. Customer personal information is deleted or anonymised when it is no longer needed. Financial, invoice and tax records are retained for the period required by HMRC, including any applicable requirement to retain records longer. The 12-month enquiry-retention period runs from the last meaningful contact. We keep only information necessary for an applicable customer, contractual, legal, tax or accounting purpose beyond that period.
Your rights
Depending on the circumstances, you may request access, correction, erasure, restriction or portability, and object to processing based on legitimate interests. Where consent is used you may withdraw it without affecting earlier lawful processing. Contact us by email. We normally respond within one month, subject to lawful extensions and identity verification. You may complain to the Information Commissioner’s Office at ico.org.uk.
Cookies, security and changes
The current website does not use analytics, advertising cookies or browser storage. Our cookie information explains the current position. We restrict access to business correspondence and use reasonable safeguards. We will update this notice if our services, providers or data use change. There is no automated decision-making or profiling in the website enquiry process.
